Data and account deletion

This notice explains how to request the deletion of your Big Picture · Orbit account and the personal data associated with it, and describes which data is removed and which may be retained. It applies whether or not the app remains installed on your device.
How to submit a deletion request
A deletion request may be submitted through any of the following channels:
- In the app. Open Settings and select Delete my account. This submits a deletion request for the account you are signed in as.
- By email. Write to support@ebigpicture.co.uk from, or clearly identifying, the email address you use to sign in. Open a prefilled deletion request.
- Through your workspace administrator. Where your employer controls the data held in Orbit, your administrator may submit the request on your behalf.
To protect your account, we verify that each request originates from, or clearly identifies, the email address associated with the account before any data is deleted.
Data that will be deleted
Upon completion of a verified request, we delete or irreversibly anonymise the personal data we hold about you, including:
- Your account and profile, including your name, email address, role, profile photograph and workspace membership.
- Your push notification token and sign-in linkage.
- Personal content you created that does not form part of your employer’s required business records, such as community posts, comments and reactions.
Data that may be retained
Orbit is a business-to-business service and, in most cases, your employer is the data controller. Records produced in the course of your work, such as completed store-visit form submissions and their photographs, form part of your employer’s business records. Where your employer requires those records for legal, audit or operational purposes, we retain them on the employer’s instruction and dissociate them from your personal identity where feasible. Your employer, as controller, determines the retention period for such records. We also retain the minimum data necessary to comply with our own legal obligations.
Timescales
We acknowledge deletion requests within 7 days and complete verified deletions within 30 days, unless a longer period is required by law. Confirmation is sent by email once the request has been actioned.
